1. Overview
FieldMind provides an AI-assisted document portal that helps operations teams manage knowledge across organizations. This Privacy Policy explains how we handle personal data, document metadata, and usage information when you interact with the platform.
2. Data We Collect
We collect account information supplied through Clerk, organization membership details, document metadata, and usage logs required to operate the service. Uploaded document contents are stored securely in your organization's dedicated storage. When you use our iOS mobile app, we may also collect your Device ID (IDFA — Identifier for Advertisers) and email address for advertising attribution and marketing purposes, strictly subject to the permission you grant through Apple's App Tracking Transparency (ATT) framework.
3. How We Use Data
Data powers search, retrieval augmented generation, and analytics that improve the FieldMind experience. We use AWS Bedrock to surface context-aware responses while maintaining multitenant isolation.
4. Sharing & Disclosure
We do not sell personal data. Limited information may be shared with infrastructure providers such as AWS, authentication services such as Clerk, or legal authorities when required by law. We also integrate the Facebook SDK (Meta Platforms, Inc.) in our iOS mobile app. If you grant ATT permission, your Device ID (IDFA) and hashed email address may be transmitted to Meta Platforms, Inc. solely to measure the effectiveness of our advertising campaigns and to attribute app installations or in-app actions to the correct ad. This data is not used to sell your information to unrelated third parties.
5. Advertising & App Tracking Transparency
Our iOS mobile app uses the Facebook SDK provided by Meta Platforms, Inc. to measure advertising campaign performance. In compliance with Apple's App Tracking Transparency (ATT) framework (iOS 14.5+), you will be asked for explicit permission before we track your activity across apps and websites owned by other companies. If you grant permission, we may share your Device ID (IDFA) and hashed email address with Meta to attribute installs and in-app actions to specific ad campaigns. If you deny permission, your IDFA will not be collected and Meta will process only aggregate, privacy-preserving signals. We use this data exclusively to understand which marketing efforts lead users to discover FieldMind — not to build advertising profiles or sell data. You can change your tracking preference at any time in iOS Settings > Privacy & Security > Tracking.
6. Security
FieldMind employs encryption in transit and at rest, scoped service roles, and access auditing. Administrators should regularly review access controls for their organization members.
7. Data Retention
We retain account information for as long as your organization maintains an active subscription. Uploaded content persists until removed by authorized users or upon termination of the agreement.
8. Your Rights
Organization administrators can request exports, corrections, or deletions of personal data by emailing privacy@fieldmind.com. Certain requests may require proof of identity or organization approval.
9. Children's Privacy
FieldMind is not intended for children under 16 and we do not knowingly collect their information.
10. International Transfers
Data may be processed in the United States and other regions where our AWS infrastructure operates. We implement safeguards consistent with applicable data-protection laws.
11. Updates
We may update this Privacy Policy to reflect new capabilities or regulatory guidance. Administrators will be notified of significant changes via email.
