FieldMind provides an AI-assisted document portal that helps operations teams manage knowledge across organizations. This Privacy Policy explains how we handle personal data, document metadata, and usage information when you interact with the platform.

2. Data We Collect

We collect account information supplied through Clerk, organization membership details, document metadata, and usage logs required to operate the service. Uploaded document contents are stored securely in your organization's dedicated storage.

3. How We Use Data

Data powers search, retrieval augmented generation, and analytics that improve the FieldMind experience. We use AWS Bedrock to surface context-aware responses while maintaining multitenant isolation.

4. Sharing & Disclosure

We do not sell personal data. Limited information may be shared with infrastructure providers such as AWS, authentication services such as Clerk, or legal authorities when required by law.

5. Security

FieldMind employs encryption in transit and at rest, scoped service roles, and access auditing. Administrators should regularly review access controls for their organization members.

6. Data Retention

We retain account information for as long as your organization maintains an active subscription. Uploaded content persists until removed by authorized users or upon termination of the agreement.

7. Your Rights

Organization administrators can request exports, corrections, or deletions of personal data by emailing privacy@fieldmind.com. Certain requests may require proof of identity or organization approval.

8. Children's Privacy

FieldMind is not intended for children under 16 and we do not knowingly collect their information.

9. International Transfers

Data may be processed in the United States and other regions where our AWS infrastructure operates. We implement safeguards consistent with applicable data-protection laws.

10. Updates

We may update this Privacy Policy to reflect new capabilities or regulatory guidance. Administrators will be notified of significant changes via email.
